Terms & Conditions

1. Acceptance of Terms

By accessing, booking, or participating in any tour operated by The Nature’s Trail, you agree to be bound by these Terms & Conditions. Please read them carefully before confirming your booking..

2. Booking and Payment

2.1 Deposit Requirement

A 30% non-refundable deposit of the total tour cost is required at the time of booking. This confirms your reservation and allows us to secure arrangements on your behalf.

2.2 Final Payment

The remaining 70% balance must be paid 5 days prior to the commencement of your tour..

2.3 Bookings Made for Other Travellers
  • Responsibility: Any individual or organisation booking on behalf of another traveller accepts responsibility for compliance with these Terms.
  • Financial Liability:The booking party remains responsible for all charges, amendments, cancellations, damages, and additional costs.
  • Schedule Changes: Any flight delays, itinerary changes, or no-shows must be communicated immediately.
  • Refunds: Refunds (where applicable) will be processed only to the original booking party unless otherwise agreed in writing.
  • Authority to Book: The booking party confirms they are authorised to accept these Terms on behalf of all passengers.
2.4 Payment Options for International Guests
  • International Bank Transfer
  • PayPal/ Wise/ Stripe
  • Cash on Arrival (No Extra Fee)
  • Credit/Debit Cards
2.5 Card & International Payment Fees
  • Card processing fees may apply and will be clearly stated on your invoice.
  • International cards may incur additional bank-imposed surcharges, which are non-refundable.
  • The Nature’s Trail is not responsible for exchange rate differences or banking fees.

3. Cancellation & Refund Policy

Cancellation fees are applied based on notice received prior to the scheduled pickup:

  • 20–30 days: 50% refund less a 10% administration fee
  • Within 20 days: No refund

Special circumstances may be considered at our discretion.

4. Additional Stops & Extra Hours

4.1 Extra Hours Beyond Tour Time: Any time exceeding the agreed tour duration and not forming part of the confirmed itinerary will be charged at NZD $80 per hour, calculated in hourly blocks.

4.2 All additional time or stops must be discussed and approved with the driver before continuation of the service.

5. Complimentary Tour Customization

The Nature’s Trail offers free itinerary modifications, giving you the flexibility to adjust your travel plans at any time before your tour begins.

6. Quotes & Availability

6.1 Quotations remain valid for five (5) days from the issue date.

6.2 Services are not guaranteed until written confirmation and payment is made.

6.3 Availability may change after quotation expiry.

7. Tour Participation

7.1 Age Requirements

Children under 18 must be accompanied by an adult. Some tours may have age restrictions based on the activity.

7.2 Health & Safety

Participants must be in reasonable health and physical condition. Please disclose any medical condition that may affect your ability to participate—at least 24 hours prior to the tour, in writing..

7.3 Behaviour

We reserve the right to remove or refuse service to any participant who is intoxicated, disruptive, or poses a safety risk..

7.4 Equipment

Necessary equipment is provided unless stated otherwise. Personal belongings are carried at your own risk..

8.Luggage Policy

  • All bags must be clearly labelled with your name, contact details, and destination.
  • Each guest may bring:
    • 1 large bag (up to 25 kg / 158 cm total size)

      1 small bag (up to 7 kg)

  • Additional bags incur a $30 fee and must be pre-arranged.
  • Oversized items (bikes, surfboards, pets) are not permitted.
  • Collapsible wheelchairs/strollers are counted as one checked bag if they meet size/weight rules.
  • The Nature’s Trail is not responsible for loss or damage to luggage or fragile items.

9. Children & Minors

9.1 Travellers under 18 years must be accompanied by a parent or legal guardian.

9.2 Guardians are fully responsible for the child’s behaviour and safety.

10. Airport Transfer Conditions

10.1 Complimentary waiting time applies as follows:

International arrivals: 60 minutes from aircraft landing

Domestic arrivals: 20 minutes from aircraft landing

10.2 Additional waiting time will be charged at the applicable per-minute rate.

10.3 Guests must notify us of any delays at customs, immigration, or baggage claim.

11. Intellectual Property

11.1 Photography Consent

By joining our tours, you grant The Nature’s Trail permission to use your photographs for marketing and promotional purposes. Images may be edited or combined with other content. You may request corrections, but we may decline if the material is already published.

11.2 Website Content

All text, logos, images, and materials on our platforms are protected by copyright laws. .

12. Liability & Insurance

  • Our liability is limited to the cost of the tour purchased.
  • We are not responsible for indirect, consequential, or punitive damages.
  • Participants are strongly advised to hold travel and health insurance.
  • All participation is at your own risk.

13. Health, Safety & Risk Acknowledgement

  • The Nature’s Trail is not responsible for injuries occurring during sightseeing, hiking, trekking, or at activity sites.
  • Children must be supervised by parents/guardians at all times.
  • Medical conditions must be disclosed in writing at least 24 hours before the tour.
  • Failure to disclose health issues voids refund eligibility.
  • We may restrict, amend, or cancel a participant’s involvement if their health or behaviour poses a risk.
  • Participation in third-party activities (booked through us or included in your itinerary) is subject to the safety policies of the respective operator.
  • We accept no responsibility for third-party performance, safety, or service quality.
  • Guests must bring suitable clothing for weather, cold environments, slopes, or sudden environmental changes.

14. Force Majeure

  • No refunds apply for unused services unless suppliers approve exceptions.
  • Weather disruptions, natural events, or vehicle issues are beyond our control.
  • We will attempt to arrange alternatives when possible, but financial responsibility cannot be guaranteed.
  • Travel insurance is highly recommended.

15. Governing Law

All bookings and services are governed by the laws of New Zealand, and disputes fall under New Zealand court jurisdiction.

16. Changes to Terms

The Nature’s Trail may update or modify the Terms & Conditions at any time. Changes become effective once posted on our website. Continued use of our services signifies acceptance of the updated terms.

17. Entire Agreement

These Terms represent the full agreement between the client and The Nature’s Trail and replace all prior communications or representations.
